Separate the first opening from the later option
List the indoor rooms needed for the first opening and the areas still awaiting approval. Give each group a phase name and an approving person. A planned courtyard can remain part of the overall brief without appearing in the quantity being requested for the indoor opening.
This decision is about the scope of the current inquiry. It does not establish a delivery date or approve a product. Dining rooms, reception, guest rooms and lounges still need their own complete furniture lists within whichever opening phase they belong to.

Build two quantity lists with separate approvals
Use this sample to keep the current package and a courtyard option distinguishable.
- First opening, indoor dining: 20 chairs and five tables. Record the selected references and the owner approval needed for those lines.
- First opening, reception: four lounge chairs and two side tables. Include their dimensions and finish decisions in the same current inquiry.
- Later courtyard option: 12 chairs and three tables. Request a separate option only if useful; keep its quantities outside the first-opening purchase total.
The current request therefore has 24 chairs and seven tables across two indoor uses. The later option has its own 12-chair, three-table count. A quotation can show both scopes clearly without presenting 36 chairs and ten tables as one approved order.
Keep future choices useful without approving them early
Set the indoor palette through the actual dining and reception selections. Save the relevant colour and material preferences for the later courtyard review, but keep the exterior product reference open until its placement and supplier information are reviewed.
Attach suitability and care questions to the courtyard option itself: the actual covered or exposed location, proposed product, storage arrangement and information still required. A visual match with the indoor furniture is useful design context; it is not a completed approval of the later product or its use.

Release each phase against its own decisions
Before treating a phase as ready to proceed, check its item quantities, exact references, dimensions, finish decisions and quotation scope. Record which person resolves each open question. The first-opening package should not silently absorb unapproved courtyard pieces because they appeared in an early concept list.
Confirm receiving arrangements and the proposed delivery sequence for the actual phase. If the courtyard is brought forward, revise its approval status and the current totals explicitly. If it stays later, preserve its option record so the owner does not have to reconstruct the discussion.
What to send for your Arizona opening

Does an approved indoor finish approve the exterior furniture?
No. Carry the visual preference into the later review, then confirm the exact exterior product and its intended placement. Record the product information and approval still needed on that option's lines.
What changes when the later area moves into the first opening?
Resolve its product and quantity decisions, confirm the proposed quotation and receiving scope, and issue a revised current package total. Changing a phase label alone should not stand in for those approvals.
