Start with the way each space will be used

A Miami restaurant, Orlando hotel and Gulf Coast guest property can each contain a mix of enclosed rooms, covered areas and fully exposed outdoor spaces. The useful distinction in the furniture brief is the actual setting of each piece, including where it will be stored and how staff will move it.

Label those settings on the room schedule. Ask the supplier to confirm the intended use and care requirements of the specific furniture you select. A covered roof does not, by itself, establish that an indoor chair is suitable for the conditions beneath it.

Bring the indoor and outdoor lists into one plan

Use one package schedule with separate rows for dining, lounge, guest-room and outdoor furniture. That makes the overall quantity and visual direction easier to review while keeping the specifications distinct.

For a dining room that opens onto a terrace, define the connection you want: related colours, similar silhouettes, or a consistent tabletop appearance. Confirm the material and intended setting for each version. Matching appearance alone should not be treated as proof that two pieces have the same construction.

• Name every indoor room and outdoor area.
• Mark furniture that will move between settings.
• Record the storage destination for movable pieces.
• Separate furniture quantities from loose cushions and accessories.
• Identify who will review the finish and upholstery samples.

Make the shared spaces part of the order

A room package can lose coherence when the lobby, breakfast room or waiting area is left until the guest rooms or main dining space are finished. Include those spaces in the first brief, even if their quantities are provisional.

For a hotel opening, list the guest-room types alongside the lobby, breakfast seating, meeting rooms and other shared spaces you want included. For a restaurant, add the entrance, bar, private dining room and waiting area. Then identify what belongs to a different scope, such as fixed cabinetry, equipment or decorative lighting.

Work backwards from room readiness

Give the project city, address and opening target, then describe when the rooms can safely receive furniture. Record the unloading point, receiving contact, available storage and route to the final rooms. If the property has several buildings or a separate receiving entrance, include that detail with the room schedule.

Ask which delivery arrangements can be confirmed for the proposed order. If part of the property opens first, split the furniture list into clear groups rather than marking the entire project as equally urgent. Keep the agreed delivery details with the approved specifications.

A useful first inquiry

Can one package include a restaurant and its terrace?

Include both in the inquiry. The plan can coordinate their appearance while keeping the intended-use specifications separate for each setting.

What if the opening is happening in phases?

Identify the first rooms needed, the later rooms and any shared storage constraints. Ask for the supply and delivery arrangements to be confirmed against those groups.

Can the furniture coordinate with existing finishes?

Share photos and available finish references. Review the proposed furniture samples alongside them before approving the final combination.
