An Atlanta hotel project may include a lobby, breakfast room and meeting space as well as guest rooms. A Savannah restaurant might combine a main dining room, private room and waiting area. A new opening in Athens or another Georgia community may bring several uses into one building.

List those spaces together before selecting individual pieces. Decide which rooms should share a material or colour and where the furniture needs to change because the task changes. The goal is a connected package that still respects how each room is used.

Give shared furniture a home

If staff will move tables or chairs between a meeting room, private dining area and storage, write down the intended arrangement. Keep separate quantities for the furniture assigned to each room and the pieces deliberately shared between rooms.

For example, furniture needed in two rooms at the same time cannot be counted as one shared inventory. Review the likely simultaneous setups with the operator, then decide what belongs in the opening order. Storage and handling questions should accompany the selection rather than being added after the quantities are approved.

  • List the normal setup for every room.
  • Identify rooms used at the same time.
  • Mark furniture that will move between those rooms.
  • Name the storage destination for shared pieces.
  • Confirm who will review handling and day-to-day use.

Make approvals part of the package

A coordinated furniture order can involve an owner, designer, operator and purchasing contact. Give each decision a clear owner. One person may approve the look while another confirms the quantities or signs the order.

Keep the approved finish, upholstery and dimensions beside the item identifier. If a room count or layout changes, update the schedule and show what that changes in the furniture list. A room-by-room record is easier to reconcile than several separate conversations about individual products.

Include the less visible rooms early

The main lobby or dining room may receive attention first, but breakfast seating, waiting areas and smaller lounges still need a place in the plan. Add them to the first package brief even if the exact furniture selection is undecided.

For hotel projects, keep repeat guest-room quantities separate from public-space pieces. For restaurant projects, include the entrance, bar seating and private rooms as well as the main dining area. Identify any fixed joinery, equipment or other items being handled outside the furniture order.

Plan the handoff into the building

Tell us the project location and the date you are working toward. Then identify the receiving contact, access route, storage space and rooms expected to be ready first. If the opening includes multiple buildings, label the destination of every furniture group.

Ask for delivery and handling arrangements to be confirmed for the actual order. Keep those arrangements with the approved schedule so the team receiving the furniture has the same version as the team that specified it.

Can a package include meeting and dining furniture?

Include both room types in the inquiry, along with any plans to move furniture between them. Their quantities and intended use should be confirmed together.
