Give every room an inclusion decision

Start with the complete opening room list, then mark each area as included, retained, controlled by someone else or awaiting a decision. This keeps dining, guest rooms, reception and meeting spaces visible without assuming all their contents belong in this purchase. A room can contain more than one category: a retained sofa does not remove the need for new lounge chairs.

Record who can approve each boundary. In a shared New Jersey building, a landlord-controlled lobby may appear on the floor plan while the restaurant waiting area belongs to the opening business. Confirm that distinction before adding either area to the furniture quantities.

Turn the inclusion decisions into purchase lines

Consider this sample opening-room list. The counts illustrate how to separate a purchase from the wider project.

  • Restaurant dining room: 24 new chairs and six new tables; include both lines in the package.
  • Owner's reception room: retain one existing sofa; include two new lounge chairs and one new side table.
  • Shared entrance lobby: building owner controls its furniture; exclude it from this purchase unless that responsibility changes.
  • Service counter: fixed joinery is handled under another scope; record the boundary without adding it as a loose-furniture line.

The resulting inquiry contains 26 new chairs and seven new tables, listed by their different uses. The retained sofa, shared lobby and fixed counter remain on the project record but contribute no quantity to those purchase totals.

Review the retained pieces beside the new selections

Once the included lines are clear, choose the timber, fabric and metal references that should connect the rooms. Bring the retained reception sofa's photographs and measured dimensions into that review. Two proposed lounge chairs and their side table should work with the actual sofa, rather than a generic room image.

Keep appearance approval attached to the specific included item. A finish chosen for the dining tables does not automatically approve the reception table, and a shared-building reference does not add its furniture to the package.

Carry scope boundaries into the quotation

Ask the quotation to identify the included furniture lines and the delivery or assembly arrangements being proposed for them. List anything still awaiting a responsibility decision separately. This makes it possible to resolve a shared lobby question without delaying a complete, approved dining-room list.

Add the actual project address, receiving contact and known access constraints for the included rooms. If an excluded area becomes part of the purchase, record its approving person, item quantities and revised scope before treating it as an addition.

What to send for your New Jersey opening

Send the room list with an inclusion status beside every area, the new purchase quantities, retained-piece references and unresolved ownership questions. Does a complete package include every item on the building plan?

The package should reflect the rooms and furniture you authorize. Shared-building furniture, retained pieces and fixed work handled elsewhere can remain visible on the project list while being excluded from the current purchase.

How do retained pieces affect the new quantities?

Assign retained pieces to their intended rooms first. In the example, the existing sofa stays in reception while two lounge chairs and one side table become new purchase lines. The sofa is not counted again as a new item.

What happens if another room is added later?

Confirm who approves that room, then add its specific furniture and quantities as a scope revision. Keep the prior included lines visible so the addition does not silently replace or duplicate them.
