One opening can involve several different rooms
A restaurant in Austin might need dining chairs and tables, bar stools and a waiting bench. A hotel project in Dallas–Fort Worth might combine repeat guest-room furniture with a breakfast area and lobby seating. A Houston opening might include a dining room and private meeting space. Tell us which rooms belong in your package and which pieces you already have.
The first decision is the boundary of the furniture order. Include the loose tables, seating and storage you need, then identify any fixed joinery, equipment, lighting or decorative items being handled by another supplier. A complete room plan should make those handoffs visible instead of assuming everything falls into one purchase.

Keep one room schedule across the project
Give every room a name and every furniture type a short identifier. Record the quantity, size, finish, upholstery and current approval status beside it. If the same chair appears in the restaurant, meeting room and guest lounge, keep one specification and separate room quantities.
For a project with more than one building or delivery address, add that destination to every line. A total of 80 chairs does not tell the receiving team how many belong at each location. Label the building, floor and room before the final order is placed.

- Mark indoor, outdoor and covered-area furniture by intended use.
- Identify decisions still waiting on the floor plan, sample or budget.
- Name the person who can approve each room package.
Coordinate the look without repeating every piece
A furniture package can use a shared timber tone, metal finish or fabric family while choosing different shapes for different tasks. Dining chairs, lounge chairs and desk seating do not need to be interchangeable to feel connected.
Send photos of retained furniture and a few references for the new space. We can work through which details should stay consistent and where a different material or shape makes more sense. Ask to review the actual samples and final dimensions together before approving a large repeat quantity.

Plan where the furniture goes after it arrives
Give the project city, delivery address and target opening date in the first brief. Then confirm the receiving contact, unloading arrangements, storage space and route from unloading to the rooms. For a San Antonio renovation or a new site outside a major metro, describe the actual property access rather than relying on the city name.
If rooms will become available in stages, identify those groups early. Ask which delivery and handling arrangements can be confirmed for your order; do not assume that one package automatically means one shipment or installation service.

A room list, approximate quantities, floor plan if available, preferred look, budget range and target timing are enough to start a conversation. Do I need final quantities before asking?
No. Send the working counts and mark what is still uncertain. The final purchase still needs confirmed quantities and specifications.
Can I keep some existing furniture?
Include it in the room schedule with photos and dimensions. That helps distinguish the pieces being retained from the furniture the new package needs to supply.
