Keep an approved starting point for the package

Record the current room furniture list with its revision date and approving person. Include restaurant, guest-room, reception, lounge and meeting furniture where they belong in the opening. Keep retained pieces and unresolved alternatives visible, but distinguish them from selected purchase lines.

A stable starting point lets the team describe a change precisely. Instead of asking for a new package after every adjustment, identify whether the request changes a dimension, finish, quantity or room allocation. That gives the owner a smaller and clearer decision to make.

Trace one changed desk through the affected rooms

Consider a sample hotel package with eight guest rooms using desk reference D48: one 48-inch-wide desk per room. A review of rooms 107 and 108 leads the team to compare a 42-inch-wide desk for those two rooms. Record the proposed change before revising the order.

  • Change record C01: compare D42 in rooms 107 and 108; the other six rooms retain D48.
  • Reopened approval: review the proposed desk's complete dimensions, chair relationship and room arrangement with the measured plan.
  • Revised lines after approval: six D48 desks and two D42 desks, replacing the original eight-D48 line.
  • Unchanged lines: the approved eight desk chairs and other room furniture remain as recorded unless the desk review identifies a separate change.

The total remains eight desks. The new two-desk line must replace two from the original line; simply appending it would create a ten-desk order.

Separate a finish change from a quantity change

If a commercial lounge table changes finish, record its exact reference, affected room group and sample decision. A finish revision may leave the quantity unchanged. A different table size, however, may require another review of the complete furniture grouping.

Give the revised choice a clear reference and retain the prior decision in the change record. This allows a coordinated appearance across the opening without letting an isolated sample change overwrite furniture already approved for other rooms.

Confirm which revision the quotation contains

Send the approved change record with the updated furniture schedule and ask which revision the quotation reflects. Confirm whether an existing order can still be changed and what that would mean before assuming the revised selection is available on the same terms.

Check that room labels and receiving documents use the approved references. Keep the changed two-room desk allocation visible to the receiving team while preserving the other six rooms' allocations. If an approval remains open, label the proposed line accordingly rather than treating an unanswered change request as accepted.

What to send for your Washington opening

Can an approved furniture order always be changed?

The actual order status and supplier terms determine that. Ask about the specific proposed revision before proceeding, and record the confirmed scope and any effects instead of assuming the original arrangements remain available.
